Invoice Template PDF
A PDF is the standard way to send an invoice. Fill it in below and download the file: it looks the same on every phone and computer.
Why invoices are sent as PDFs
A PDF keeps its layout, makes accidental changes unlikely and opens on anything. Accounts teams can file it, and you can attach it to an email or upload it to a client's payment portal.
Sending, signing and storing a PDF invoice
- Attach it to an email and put the invoice number in the subject; see how to send an invoice.
- To sign it, print and sign, or use the signing feature in your PDF viewer.
- Name the file with the number and client, such as invoice-1042-babbage.pdf, so you can find it later.
- Keep a copy with your business records.
Before you download
- Check the client's name and address, and your own.
- Give the invoice a number nobody else has used.
- Put the due date and how to pay on the page.
- Read the total once, and the tax line if there is one.
Questions
- Is the PDF really free?
- Yes. The invoice downloads as a PDF with no signup. Some extras, such as removing the small credit line, are in Pro.
- Can I edit the PDF afterwards?
- Not easily. Change the invoice in the tool and download it again; your draft stays in your browser.
