Auto Repair Invoice Template
A repair invoice shows what was wrong, what was done and what it cost. Customers and insurers read it for the parts and the hours, so listing them separately, with the vehicle details, answers most questions before they are asked.
Example line items for auto repair
These are examples of how to word lines, not prices. Use your own rates.
Replace front brake pads and discs
Describe the job in the words the customer used.
Labour, per hour
Show hours and rate apart from parts.
Parts: brake pads, front set
List parts with brand or number where it helps with warranty.
Shop supplies and disposal
Show small charges as their own line so they are not a surprise.
Diagnostic check
A diagnostic fee is clearer as its own line.
What to put on a auto repair invoice
- The customer and the vehicle: make, model, year and plate
- The date and the odometer reading
- Each job, with parts and labour separate
- Tax on its own line
- Any warranty on parts or work
For the basics every invoice needs, see what to put on an invoice.
Payment terms
Repair shops usually take payment when the vehicle is collected. Due on receipt, printed on the invoice, makes that clear; for fleet customers, Net 15 or Net 30 is common.
Type Net 30 (or Net 7, Net 15) in the Payment terms box and the due date fills in. Payment terms explained.
Questions
- Should I list parts and labour separately?
- Yes. It shows what the charge is made of and helps with warranty claims and insurance.
- Can I add a storage charge?
- If you told the customer it applies, as its own line with the dates. Check the local rules on vehicles left at a workshop.
