Payment Receipt Template
A payment receipt is proof that money was received. Fill it in below and send the PDF to the person who paid.
When to send one
Send a payment receipt after an invoice is paid, when a deposit arrives, or when someone pays a bill in instalments. It closes the loop on an invoice and gives the payer something to file.
What it should show
- The receipt number and date of payment
- Who paid and who received
- What the payment was for, and the invoice number if there is one
- The amount paid and the method
- The balance still owed, if it was a part payment
Two samples
- Paid in full: Receipt R-0210, for invoice 1042. Received 500 by bank transfer on 17 March. Balance: 0.
- Part payment: Receipt R-0211, for invoice 1043. Received 300 by cash on 20 March. Balance still owed: 200.
Acknowledgement or receipt?
An acknowledgement of receipt simply says something was received. A payment receipt also says how much, for what and by what method. For money, use the receipt.
Questions
- Is a bank statement enough as proof of payment?
- Often, but some people want a receipt from you. Giving one is quick and avoids questions.
- Can I send the receipt by email?
- Yes. Download the PDF and attach it. See the invoice vs receipt guide for when each applies.
