Free invoice template for graphic designers

Design work is billed per project, per hour or per deliverable, and the licence matters as much as the artwork. A clear invoice states what was made, how many rounds were included, and what the client may do with it.

Example line items for graphic design

These are examples of how to word lines, not prices. Use your own rates.

  • Logo design, 3 concepts

State the number of concepts and rounds that were quoted.

  • Brand guidelines document

    Name the deliverable.

  • Social media templates, set of 10

    State the quantity and formats.

  • Additional revision rounds

Show them separately when they go beyond the agreement.

  • Rush fee

Show it as its own line if the deadline was shorter than normal.

What to put on a graphic design invoice

  • The project name and the deliverables
  • The number of revision rounds included
  • File formats delivered
  • The licence or usage terms, or a pointer to them
  • Deposit already received

For the basics every invoice needs, see what to put on an invoice.

Payment terms

Half up front and half on delivery is common for fixed-price projects. Make sure the delivery of final files is tied to payment in your agreement, not only on the invoice.

Type Net 30 (or Net 7, Net 15) in the Payment terms box and the due date fills in. Payment terms explained.

Questions

Should I invoice before sending final files?
Many designers send the final invoice together with a preview and release the final files once it is paid. Whatever you do, say so in your agreement.
How do I charge for extra revisions?
Add a line for the extra rounds with an hourly or per-round rate, so it is clear they were outside the original price.
