Itemized invoice: what it is and how to make one

By Diljit Ramachandran, founder of The Invoice Generator. Published Oct 26, 2026.

An itemized invoice lists every product or service on its own line with the quantity, the rate and the amount, then adds them to a total. It shows the client exactly what they are paying for, which can help them check the bill and may cut questions.

What goes on each line?

A line item is one product or service on the invoice. Give each a short description, a quantity, a rate and the line amount. Use hours or days for services and units for goods. Be specific: Logo design, 10 hours beats Design. Hourly jobs should show hours and rate.

Why itemize?

Clients can check the sum, finance teams can match lines to a purchase order or contract, and you have a clear record if something is questioned. A lump-sum invoice shows one price for everything. If you forgot a line, bill it on a new invoice rather than editing one you sent.

How are tax and discounts shown?

A subtotal is the sum of the lines before tax and discounts. Show the subtotal, any discount, shipping if any, tax, then the total. Show tax as its own line; if your prices already include tax, say so on the invoice. Tax applies to whatever your local rules say it applies to. In Canada, see GST vs HST.

A short itemized example

The 10 percent tax rate is an example; yours depends on where you are.
